The front desk is where a patient, a family member, or a referral source first meets your organization. That person answers the phone, confirms the schedule, and absorbs the complaint nobody else wants. Yet administrative hires often get a short interview and a quick reference call, while the clinical role gets a scorecard. The cost shows up later, in missed calls, scheduling errors, and staff who quietly cover for a weak link.
Why Administrative Roles Get Skipped
Administrative staffing tends to be treated as the easy fill. The résumé looks simple, the pay range is modest, and the vacancy hurts every day, so speed wins over fit. That is understandable, but a rushed administrative hire in a medical office or home care agency touches every other role in the building.
How to Screen the Role Properly
- Define the job by what goes wrong. List the three errors that cost you most, such as a missed callback or a wrong authorization, and screen against those.
- Listen to the phone voice. Hold part of the first conversation by phone. Tone, pace, and patience are visible in two minutes.
- Use a short work sample. Ask the candidate to schedule three overlapping appointments or correct a flawed intake form. Accuracy under light pressure tells you more than a résumé.
- Ask about the worst caller. “Tell me about the hardest person you handled and what you did.” Listen for ownership, not blame.
- Notice how they treat everyone. Ask who greeted them in the lobby. Courtesy to the receptionist is free information.
None of this requires a long process. It requires deciding in advance what good looks like.
How We Work at Optimum RTS
Recruiting, training, and staffing are one discipline for us. When we handle administrative staffing or direct hire recruiting for employers in Palm Beach County and across South Florida, we apply the same scorecard thinking we use for clinical searches. And because a front desk hire is a customer-facing role, the listening and follow-up habits we teach in sales training apply here too.
If an administrative opening is wearing down your team, we can help you define the role and find the right person. Call Optimum RTS at 561-408-2192 or write to contact@optimumrts.com. It’s our job to understand your job.
